EXPO/EXHIBITOR GUIDELINES

Booth Space & Furnishings
1 – 6’ x 30’ table skirted and/or 8’ x 6’ space will be allotted for each exhibitor. YPCI will not provide the traditional booth set-up of pipe and drape.

Electricity and Telephone
These services are available upon request and at an additional fee. An electrical request form and telephone request form will be mailed with the Exhibitor Confirmation Package.

Space Assignment
Exhibitors will be assigned on a space available basis.

Installation of Exhibits
Thursday, October 31, 2002 - 7:00 am-5:00 pm - Exposition/Exhibit Set-up

Dismantling of Exhibits
Saturday, November 2, 2002 - 7:30 pm-10:00 pm - Exposition/Exhibit Hall Dismantling

Shipping Instructions
All materials may be shipped to the Omni Shoreham Hotel, 2500 Calvert Street, NW, Washington, DC 20008. Attention: YPCI – Youth Popular Culture Summit, October 31- November 3, 2002 Conference Services. Note: Material should not arrive before October 29, 2002.

Conducting Exhibits
All exhibits must conform to the standards set by YPCI which are as follows: Background must not exceed 8’ in height, including the sign, and must not protrude from the back wall more than 24 inches . No exhibit will be permitted to span an aisle or overhead archways. Exposed unfurnished sides of an exhibit must be draped to present an attractive appearance. Volatile or flammable oils, gases or other explosive or any other substance prohibited by city laws or insurance carriers are not permitted. Solicitations of business or conferences in the interests of the exhibitor’s own space is not permitted. Solicitations of business or conferences in the interest of business expected by exhibiting firms, are prohibited. Exhibitors will not be permitted to sell products. Character of the exhibit is subject to approval by YPCI.

YPCI reserves the right to refuse applications of companies not meeting standards required, as well as the right to curtail exhibits that reflect against the character of the meeting. This also applies to displays, literature, advertising, novelties, souvenirs, conduct of persons, etc.

Liability
The exhibitor shall be responsible for any liability arising out of its own negligence or that of its employees or agents. The Exhibitor agrees to be responsible for it own property throughout and shall hold harmless YPCI and the facility for any and all damages caused by theft and those perils normally covered by fire and extended coverage policy. A copy of the Exhibitor’s Certificate of Insurance must be provided to YPCI by October 1, 2002.

Exhibit Space Cancellation
YPCI will not accept cancellation of booth space after September 1, 2002
